Describe exactly what you want to buy

Start with the application, destination and product format. For a compressed block, ask for net weight, moisture basis and an expansion specification with its test procedure. For loose media, identify the declared volume, blend and bag format. For crop bags, include dimensions and the intended filling specification.

State whether you need low EC coir, buffered material, chips or a blend, then ask for the corresponding test details. If the treatment is undecided, request clearly separated options. A single enquiry containing several undefined alternatives is difficult to compare.

Share the expected order quantity and receiving date as planning inputs. Ask the supplier to distinguish sample preparation, production and shipping estimates so that one broad lead-time figure does not conceal separate stages.

Ask your freight provider and destination adviser to confirm the documentation and import requirements for the specific shipment. Record who is responsible for each step and cost. This article does not prescribe a universal document list because the destination and shipment details matter.

Use a defined denominator for the price comparison

When products meet the same required specification, calculate cost against the quantity you can use. Keep the price scope identical: comparing a product-only price with a delivered total will give a misleading result.

Hypothetical arithmetic, not a Teral quotation

An agreed comparison cost of US$1,200 divided by 60,000 usable litres is US$0.020 per litre. US$1,100 divided by 50,000 usable litres is US$0.022 per litre. The lower total in this example has the higher unit cost.

Confirm the loading plan before placing the order

Request a packing schedule showing units per pallet, pallet count and total net and gross weight. Ask how the proposed arrangement relates to the quoted shipment. Before approval, put the final specification, sample reference, packing schedule and commercial quote in one order record. Resolve differences between the enquiry and the offer explicitly. Keep any agreed changes in writing so that the receiving team knows what to check.
